Evie | FAQ: other questions

Last updated: October 12, 2026

This article answers the questions about Evie that do not fit the how-to guides: what goes into a note, what the prompt box does, and what Evie remembers.

For recording, templates, speaker names and the bot's joining behaviour, use the linked how-to articles. The answers here are short on purpose, with a link where a longer article exists.

Before you begin

  • Evie is the meeting agent: it records online and in-person meetings and produces transcripts, meeting notes, email summaries and fact finds. Atlas is the assistant you ask questions of across clients, transcripts and reports.
  • Anything that changes how every note comes out is a template change, which the support team makes for you. Email support@advisoryai.com with an example.

Recording and notes basics

How do we record a meeting and then turn it into a note on our template?

Connect your calendar for online meetings, use the mobile app in the room, then create the note from the transcript. Once your calendar is connected, Evie joins any online meeting through its joining link. For an in-person meeting, open the day's meeting in the iPhone or Android app and tap record; the transcript syncs to the web platform when you stop. Then click Create Report, select the template, attach the transcript and click Next. Full steps: Record phone calls and in-person meetings and Meeting notes: choose a template, fix the length, edit without losing changes.

Are there several meeting note templates to choose from?

Yes: the structured meeting note, the ad hoc note, the email summary and the fact find. The structured note is the internal record, the ad hoc note takes its headings from the conversation, and the email summary is the one you send to the client. Your firm can have custom templates built on top of these. Atlas can also produce the email summary for you after a meeting: see Sending Email Summaries with Atlas.

What goes into the note

If an adviser spends ten minutes chatting about the football, will that end up in the meeting note?

No. Evie filters for financial planning relevance, so personal chat reduces to a one-line mention. It only features more when it dominates a short call. If your firm wants a harder filter, for example no political content at all, ask support to add it to your template. In the meantime, ask the finished note through Message Evie to remove the specific topic.

Some notes are written as if to the client rather than about the client. Can that be changed?

Yes. Send support one note written the wrong way and one in the third person you want, and the template is set to produce that format every time. This matters because the structured note stays on file, so "he is in his fifties" is the form it should take, not "you are in your fifties".

The recommendations section has started re-explaining the rationale instead of giving one-line action points. Can it go back?

Yes. Save the note in Word, use comments to mark what should change, and email it to support@advisoryai.com. The team updates the template so the section returns to action points.

Can a fact be stated once in the note rather than four or five times?

Yes. A platform-wide repetition reduction shipped in mid-2026, and a one-off fix for any note is to ask it through Message Evie to de-duplicate. The aim is for a fact to appear once, or at most twice where it legitimately belongs in both the attitude to risk section and the recommendations. If a repeated fact is causing file check failures because a correction was missed in one place, email support@advisoryai.com the note in Word with the repeats marked; the team adds a de-duplication instruction to those sections of your template and tells you when it is live.

Prompting and memory

When I paste my prompts into the prompt box for a meeting note, why does it only sometimes work?

The prompt box talks directly to the model and bypasses the section instructions and master prompt in your template, so results vary. Use it for one-off changes to the note in front of you. Anything you want every time belongs in the template; ask support to add it.

When I prompt a second change, why does the note revert to the original?

Each message to Evie works from the transcript, so it does not know about your earlier message. List every change you want in one message. If you have edited the note by hand in the platform, download it to Word before regenerating anything, because regeneration overwrites those edits. Atlas returns chat output only and cannot hand back an edited Word document, so a side-by-side view where you keep prompting and type straight into the document is not something to rely on today; if you want it, email support@advisoryai.com with the note you were editing and the team logs it against the editing request and tells you what is available on your account.

Does Evie have a memory section like Atlas?

No. Memory is only in Atlas. Message Evie instructions, in-platform edits and snapshot changes are not remembered for future notes. Evie does learn your individual tone of voice from your own transcripts, and consistent spellings are learned through the Dictionary: see Building Your Firm's Dictionary and Atlas Memory: Customising and Remembering Output.

Also asked

Is transcription live during the meeting, or only afterwards?

Only afterwards. Evie records the meeting and transcribes it once the meeting ends, so the transcript and the note appear in Past Meetings after the call rather than scrolling during it. In-meeting prompts that flag a missed topic or two conflicting figures while the client is still in the room are being built and have no date; the note's items not discussed section covers the missed topics after the meeting in the meantime.

Is vulnerability flagged live while the transcript is running, or do we get an alert afterwards?

Afterwards, in the note. Nothing is flagged during the meeting, because Evie processes the transcript after the meeting ends. Vulnerability indicators appear in the vulnerability section of the structured meeting note, which is one reason that note stays internal. There is no setting for how heavily the section flags; if it flags too much or too little, email support@advisoryai.com with an example note and the team tunes the section in your template.

What is the accuracy of your transcriptions?

No accuracy percentage is published. The transcription model is trained on financial terminology, so fund, product and tax terms come through better than in a generic voice recorder, and AdvisoryAI does not read customer report content to score it. What moves accuracy in practice is in your hands: add consistently mistaken terms to the Dictionary under AI Settings, use Clean Transcript so each voice is named, and keep the phone close in a large room. If a transcript is wrong in a way the Dictionary cannot fix, email support@advisoryai.com with the meeting date and the passage; the team checks the recording against the transcript and replies.

Can it be told that when a client says 147 they mean 147 thousand, not one hundred thousand and forty seven?

There is no setting for that today. Spoken shorthand for amounts is transcribed as it was said, and the Dictionary learns spellings of terms, not number conventions. Firms treat this as a check to do on the note straight after the meeting, while the figures are fresh: read the assets and liabilities section against what the client said, and fix a one-off error in the note or through a single Message Evie instruction. If figures are regularly misread in your notes, email support@advisoryai.com with three examples; the team adds an instruction to your template on how to treat shorthand amounts. Flagging a conflict when the client gives two different figures is being built and has no date.

What kinds of errors does Evie make in meeting notes that we should watch for?

Two patterns are worth a specific check: a fact stated one way in one section and another way elsewhere, and a number from the conversation turned into the wrong kind of figure, for example a phone number that is read out becoming a product valuation. Read the assets and liabilities, recommendations and next steps sections against each other before the note is filed, and fix a one-off error through Message Evie or in Word. Factual errors are treated as bugs, so email support@advisoryai.com with the meeting date, the client and the sentence that is wrong; the team checks the transcript against the note and feeds the pattern into the compliance checks being built.

Why does the section dropdown in Message Evie not match the headings in our template?

The dropdown lists the section names as they were typed into your template when it was built, so a mismatch means they were entered incorrectly on the AdvisoryAI side. Email support@advisoryai.com with the template name and your headings in the order they appear in the note; the team corrects the section names so the dropdown matches your headings in that order, and tells you when it is done.

Could an adviser use the browser portal on their phone instead of the native app?

Not for recording. Face to face meetings are recorded with the AdvisoryAI app on your phone, and recording through the web platform is not available on a phone or a computer. On a phone you could join a video call and admit the note taker in the usual way, but the web portal is for the next step of the workflow, creating and editing the note from the transcript, rather than for recording. If the app itself is giving you trouble, email support@advisoryai.com with the phone model, the app version and what happens when you press record. Every app recording is backed up on the phone in the AdvisoryAI folder in the Files app, so the team can recover a failed upload from the recording ID and replies with the fix. See Record phone calls and in-person meetings.

Can you send me a copy of a meeting transcript so another adviser can write the post review letter while the adviser is on leave?

Use a paraplanner licence to open the meeting rather than asking for the transcript to be emailed. Advisers see only their own clients, so another adviser cannot open the meeting, but a Paraplanner or Paraplanner Plus licence sees the clients and meetings of the advisers in its team under Team Management automatically, and can read or download the transcript from the past meeting: see Accessing Adviser Meetings as a Paraplanner. If nobody with a paraplanner licence is available, email support@advisoryai.com with the adviser's name, the meeting date and the client; the team has to retrieve the transcript on your behalf because no adviser can reach another adviser's meeting, and it replies with what it can provide.

Can you delete a specific recording as soon as possible?

Email support@advisoryai.com with the adviser's name, the meeting date, the client and whether you want the recording, the transcript or both removed. Deletion of a single recording is done by the team, because the platform's deletion is permanent after its recovery window and the team confirms in writing what was removed. Formal deletion requests are honoured within about three days. See Data security, retention, deletion and export.

Next steps

  • If a note will not generate even though the meeting shows as done and you can see the transcript, email support@advisoryai.com with the meeting date and the client.
  • For a change you want in every note, send support one example in Word with comments.
