How to Clean your Meeting Transcript

Recorded meeting are labelled generically — Speaker 0, Speaker 1, Speaker 2. Cleaning a transcript means replacing those labels with the actual names of the people who were there.
How to Clean a Transcript
Go to the Meetings tab and find the meeting, marked Done
Click Clean Transcript
On the Attendees list, use the Speakers dropdown next to each person to select which speaker label belongs to them — or use Map Speakers to Names to type the correct name against each Speaker number directly
Check the transcript on the right as you assign names, so you can confirm who said what
Click Save to apply the changes

Joint Clients and Other Attendees
In a standard meeting with two clients — a couple, for example — the system usually identifies the three speakers correctly without any help: you, and the two clients.
Where it's more likely to get confused is a third party who isn't a client at all — a solicitor, an accountant, a family member sitting in. The system has no way of knowing their relationship to the client, so it can misattribute what they say to the client instead. This is exactly when cleaning the transcript is worth doing before generating anything from it.
Why you should clean your meeting transcript
An uncleaned transcript doesn't know who said what.
For example, say an adviser met with a client and their solicitor. But, the system assumed it was looking at a couple, so when the solicitor mentioned a recent holiday and a new dog, that update was pulled into the meeting note as a change to the client's own circumstances. This is incorrect, and the kind of error that's easy to miss.
Cleaning the transcript before generating a meeting note, fact find, or report removes this risk. It's a small step that directly determines how accurate everything built from that meeting will be.
Please Note: This only applies to meeting attended or were invited to — you can't clean a transcript for a meeting you weren't part of. Only those with an Advisor or Paraplanner Plus subscriptions can clean meeting transcripts.
