Creating a Fact Find from your Meeting

Last updated: October 12, 2026

This article shows you how to turn a meeting transcript into a fact find, check the fields Evie could not fill, and push the result into your back office system.

The fact find is one of Evie's four outputs from a transcript, alongside the structured note, the ad hoc note and the email summary. It extracts the fields your back office system holds, and anything the client did not cover in the meeting is marked Not provided rather than guessed.

Before you begin

  • The meeting must show a transcript in Past Meetings, with the speakers named. See How to Clean your Meeting Transcript.
  • Have the completed risk questionnaire to hand as well. Ideally the fact find is built from both the transcript and the risk questionnaire.
  • To push the fact find into your back office system, your account needs that integration connected. See Pulling client data from IO.
  • If your firm uses its own fact find document, ask support to build it as a template first; see below.

Create the fact find

  1. Click Create Report at the top of the screen.
  2. Select Fact Find as the report type.
  3. Select the client, or add a new one.
  4. Attach the meeting transcript or recording, and the risk questionnaire if you have it, then click Next. Evie fills every field it can from the transcript.
  5. Read through the output. Every field is listed, and the ones the client did not cover are marked Not provided, so you can see at a glance what to ask at the next meeting.
  6. Edit the draft directly on the platform, or download it as a Word document or PDF and carry on with your usual process from there.

Please note: the fact find reads the transcript you attach and nothing else. If a figure is missing, it was not said in that meeting or the speaker was not assigned; it is not pulled from the client record.

Push the fields into your back office system

  1. With the integration connected, the platform highlights the fields that will be updated in the client's record.
  2. Edit any value that needs correcting.
  3. Click Push to IO, or the equivalent button for your back office system, and confirm. The fields update in the back office system, so you do not retype them after each meeting. Full steps for the push are in Creating a Report and Pushing Data to IO.

Use your firm's own fact find

Your firm's fact find document can be uploaded like any other template, and the platform then generates it from the transcript.

  1. Email support@advisoryai.com a blank copy of your fact find and three completed examples, such as a single client, a joint client and a complex case.
  2. Say what you want changed about the standard output, for example moving Evie's notes to the end of the document, or leaving out the Not provided markers. These tweaks are made in the template rather than by replacing the fact find.
  3. Custom templates are built in days.

Also asked

Can the system generated fact find be enhanced with some additional prompts rather than replaced?

Yes. The standard fact find can carry extra prompts and section instructions of your own, for example putting Evie's notes at the end of the document or leaving out the message that a box was not filled in, without your firm having to replace it with a different template. Email support@advisoryai.com with the prompts you want added and one example fact find marked up to show where they apply; the template team makes the tweaks in the template and tells you when they are live, so every fact find you generate from then on includes them.
