Accessing Adviser Meetings as a Paraplanner

This article answers the question "whose clients can Atlas see?" for each role, including how paraplanners ask about advisers' meetings, and explains how to get a view across the whole firm.

Atlas follows the permissions you already have on AdvisoryAI and cannot override them. If you can open a client on the platform, you can ask Atlas about them; if you cannot, Atlas will not answer about them either. The same rule covers what Atlas can do: a role that cannot create a report in the app cannot ask Atlas to create one.

Before you begin

  • Check which licence you hold under your profile, or ask your admin. The answers below depend on it.

  • A client has to be on AdvisoryAI for Atlas to answer about them. Clients that exist only in your back office system are invisible to Atlas until they are synced.

  • Paraplanner access to advisers' meetings is automatic with the licence; there is nothing to switch on.

Which clients does Atlas answer about?

Atlas answers about the clients your role can already see on AdvisoryAI.

  • Adviser: your own clients.

  • Paraplanner and Paraplanner Plus: the clients and meetings of the advisers in your team under Team Management. If no team has been set up, you can access any adviser's clients and meetings.

  • Supervisor: every client in the firm, read-only. A supervisor can view and download but cannot create or edit reports.

  • Admin: account-level access for managing users and settings. Admin does not by itself give sight of other people's clients.

If you log in as one adviser and run a prompt, you get that adviser's clients only. Data is not shared across adviser logins.

How do I ask Atlas about an adviser's meeting as a paraplanner?

Name the adviser, the client, or both, in your question.

For example, "Summarise [adviser]'s recent meeting with [client]." You can ask Atlas to focus on a topic, such as health concerns, investment preferences, action items, or vulnerabilities discussed. Questions that work well:

  • "Summarise [adviser]'s meeting with [client]."

  • "What concerns did [client] raise during their meeting with [adviser]?"

  • "What are the next steps from [adviser]'s last meeting with [client]?"

  • "Was [client]'s risk profile discussed in the meeting?"

Please note: you can ask about one meeting, or one adviser's meetings, at a time. Atlas cannot look across meetings from several advisers in a single question. Advisers cannot currently see when a paraplanner has accessed one of their meetings.

How do I run a question across the whole firm?

Use a supervisor login.

A supervisor sees every adviser's clients, so questions such as "which clients mentioned an interest in football?" for a marketing campaign, or a check across all advisers for training and competence monitoring, run from there. Ask your account manager to set up a supervisor login if your firm does not have one.

If a book-wide question comes back vague, for example "show me clients with pension allowance remaining this tax year", the detail is usually not held as a tracked field on the platform or in your back office system, so Atlas has nothing to count. The team can confirm which fields are tracked for your firm, and whether a question such as "what does our average client look like?" can be answered from your data today.

Do all our clients have to be on AdvisoryAI first?

Yes. Atlas reads the platform, not your back office system directly.

Clients come across when you sync them. Intelliflo users can now sync clients in batches from the Clients page rather than one at a time; see Connect Intelliflo and sync your clients in batches. Atlas is still useful on individual clients while your client bank builds, and its answers get richer as more meetings and documents are added.

Please note: a client imported separately by an adviser and by a paraplanner becomes two records, because the import matches within each user's own clients. Merge them so Atlas sees one client; see Find and merge duplicate clients.

Can colleagues see the files I upload to Atlas?

Only if you tagged the file to a client.

A file sent in a chat with a client selected is saved to that client's documents, where anyone with access to the client can open it. A file sent without a client stays private to you. See Atlas Documents: uploads and screenshots saved to the client.

Is Atlas learning from me, my firm, or everyone?

From you, as an individual user.

Atlas does not learn from other firms' users. To lock in your preferences faster, save them under AI Settings, Memory; see Atlas Memory: Customising and Remembering Output.

Are my settings shared with colleagues?

Tone is set for each user individually; the dictionary and template instructions are firm-wide.

The tone setting under AI Settings applies to your own outputs. If the whole firm should write the same way, email support@advisoryai.com and the same setting can be applied to everyone, or put the instruction in the template, which applies to every user.

Can we have training on what each role can see when advisers, admins and paraplanners share the platform?

Yes. Email support@advisoryai.com with the names and roles in the pod and a couple of preferred times. The team runs a short session on your own account, because the clearest way to show what each person sees is to open it with their login beside you.
