Why did my mobile recording stop or not upload?
Last updated: October 12, 2026
This article explains why a meeting recorded in the AdvisoryAI mobile app can stop part way through or never arrive on the web, and how to recover the audio.
The app records on your phone, then uploads the audio to AdvisoryAI for transcription when you press stop. Most problems fall into one of three groups: something interrupted the recording, the upload has not finished yet, or the upload failed. Each has a fix below, and in most cases the audio is still on your phone.
Before you begin
- Update the app to the latest version from the App Store or Google Play. Several recording fixes shipped in August and September 2026, and an old version will not have them.
- Have the meeting date and time, the client, and the phone model to hand in case you need to contact support.
- Check whether the recording is visible in the app. If it is, it can be recovered.
Check this first
- Open the app and look for the meeting. If the recording is listed on the phone, the audio exists and the problem is the upload, not the recording.
- Look at the recording length. A very short transcript from a long meeting, for example twenty seconds from a forty-minute review, means the recording was interrupted part way through. See the first two causes below.
- Check Past Meetings on the web. Open AdvisoryAI in a browser, go to the Meetings page and look under Past Meetings. A large recording can take a while to process, so wait a few minutes and refresh before treating it as missing.
An incoming call paused the recording
A phone call, WhatsApp call or FaceTime call takes over the phone's microphone, so the app cannot keep recording through it. Declining the call does not help, because the phone has already handed the microphone to the call.
On iPhone with the current app, the recording pauses when a call comes in and picks up again when the call ends, and the app tells you it paused and resumed. The Lock Screen and the recording widget show whether you are recording or paused, so a glance at the phone during the meeting confirms it is still going.
To avoid the gap altogether:
- Put the phone in airplane mode or do-not-disturb before you press record. Do-not-disturb on iPhone can switch itself off when the screen sleeps, so airplane mode is the safer choice for a long meeting.
- Leave the phone on the table, screen up, where you can see the recording timer.
- If a call did interrupt an older version of the app, the recording stopped at that point. Press record again to capture the rest of the meeting as a second recording against the same client.
Please note: the pause-and-resume behaviour is an iPhone update. On Android, use airplane mode or do-not-disturb to stop calls reaching the phone during a meeting.
The phone ran low on battery or memory
Two things on the phone itself can end a recording early.
- Low battery stops a recording. Charge the phone before a long meeting, or plug it in while you record.
- Memory pressure can cut off a long recording or block the upload. The app holds the audio in the phone's memory while it records and uploads, so an older phone with many apps and browser tabs open can run out. Close other apps before a long meeting. If an upload is stuck, clearing the app's cache has resolved it for other users, and you may need to do it again on an older phone.
Large rooms also reduce pickup. Sit the phone close to the people speaking rather than at the far end of a boardroom table.
The upload has not finished
The app uploads when you press stop. If the phone loses signal or you close the app straight after the meeting, the upload can stall.
- Open the app and leave it in the foreground on a good Wi-Fi or mobile signal until the meeting shows as uploaded.
- Refresh Past Meetings on the web. Processing continues on the AdvisoryAI side after the upload, so a long recording takes longer to appear.
- If it says uploaded but no transcript appears on the web, email support@advisoryai.com with the meeting date and time. The team can check whether the file arrived and restart the transcription.
The upload failed
The web shows the meeting as failed, or the app keeps retrying and never completes.
- Find the backup on the phone. Every app recording is saved on the device in an AdvisoryAI folder in the Files app on iPhone, so a failed upload does not lose the audio.
- Upload the audio file yourself. Email the file to yourself or save it to your computer, then upload it in AdvisoryAI to create the meeting note in the same way as a phone call recording.
- Or ask support to recover it. Email support@advisoryai.com with the meeting date and time and the recording ID if the app shows one, and the team can retrieve the recording from the backup.
Please note: a "file too large" message on a normal-length meeting, and an upload that fails straight after a two-factor login, are known faults rather than something you did wrong. Report them to support with the phone model and the app version so the team can match them to a fix.
Still not working
Email support@advisoryai.com with:
- the meeting date and time, and the client it was recorded against
- the phone model, whether it is iPhone or Android, and the app version
- whether the recording is visible in the app, and how long it shows as
- the exact message you saw, for example failed, file too large, or nothing at all
The team can see upload logs for the recording and will tell you whether it can be recovered.
Next steps
- For the next in-person meeting, update the app, charge the phone, switch on airplane mode and keep the phone where you can see the timer.
- If a meeting was captured on a different recorder, you can upload that audio file to create a meeting note. See Recording a Phone Call for Use with Evie below for the steps.
